CCSD TOURS: POLICIES, TERMS and CONDITIONS

RESERVATIONS AND DEPOSITS

Registrations for CCSD Tours may be made directly with CCSD through our registration page.  The booking deposit will be taken at this time.

The balance of payment should be paid by check.   Please send a check with the required deposit and if necessary the balance owing to:  Cycling Camp San Diego. 1286 University Avenue, #268, San Diego, CA 92103 

 

Payment of the remaining balance may be made using a credit card, however this will be subject to a 4% fee. 

On receipt of deposit and/or balance you will be issued with full details of the tour and a payment receipt.

Amounts are to be paid to CCSD in US$.  For payment in other currencies please contact jo@ccsd.com to learn the current exchange rate and payment policies for your local currency.

WHAT’S INCLUDED

Please refer to details of each tour for specifics of what is and is not included.  However, as a general rule tour price does not include the following: services, some meals and alcoholic drinks (except those listed in the itineraries); passports or other travel documents; airfare; personal expenses such as laundry, incidentals, communications; medical or travel insurance; bike transportation fees to start location for the tour; bike rental; or major bike repairs. 

CHANGES, CANCELLATIONS AND REFUNDS

In the unfortunate event that you must cancel a reservation made with us, CCSD will charge a cancellation fee dependant on the confirmed cancellation date.  Fees are outlined below.

Cancellations must be sent by email to jo@ccsd.com.  A ‘confirmed cancellation’ notice will be issued to you by email on receipt.

Exceptions to our cancellation policy cannot be made for any reason, including weather, terrorism, civil unrest or personal emergencies. Percentage charges are calculated on total tour price and include single supplements or other requests for which an additional charges may have been made. No refund can be made for arriving late or leaving a tour early.

We make every effort to run tours even with a low number of guests, however in the event that minimum numbers are not reached we reserve the right to cancel the trip in which case a full refund of all amounts paid by tour clients to CCSD will be made.  CCSD cannot be held responsible for other expenses incurred by tour clients that are incurred in preparation for any cancelled tours, such as (but not limited to) airline tickets or travel insurance.

In the unlikely event that we must cancel a trip due to too few participants, we will attempt to notify you at least 120 days prior to the planned departure. However, we reserve the right to cancel any trip for any reason at any time prior to departure. In such case, refund of any payments received will constitute full settlement.

CCSD reserves the right to make changes to routes, hotels, itinerary, routes, or other such items on a tour schedule where we believe it will make for a better trip for all clients.

Prices for tours are based on international exchange rates and may be subject to adjustment by CCSD in the event that international exchange rates should change by more than 5% between the time of clients making a reservation and the start of the tour. Any increase resulting from such an adjustment shall be notified to the client in advance of the tour start.

While most of our tours can accommodate a wide range of cycling abilities and offer a variety of other activities.  In the event that we feel a guest will be unable to cope with the schedules activities on the tour (e.g. for medical reasons) CCSD reserves the right to refuse a guest on a CCSD Tour. 

MAKING TRAVEL ARRANGEMENTS

We strongly advise not making travel arrangements until the CCSD Tour has been confirmed by CCSD.  We will endeavor to communicate this to you 120 days before the start of the tour.

Please note that in order to arrive on the scheduled start day of a CCSD tour you may be required to leave your departure country a day ahead of the scheduled start day.

We suggest leaving a minimum of 2 hours for all outbound connecting flights.

Please contact us before making your final flight arrangements to ensure that your expected arrival time meets with our scheduled pick up times at the start of the tour.  Arrival outside of scheduled pick up times may incur an additional charge.

CCSD cannot be held responsible for costs that are incurred due to travel delays, flight cancellations or illness. We do not recommend non refundable, advance purchase air tickets, as we cannot assume responsibility for any loss incurred on account of such tickets.

TRANSFERS TO ANOTHER TOUR

You may transfer from one tour to another up to 120 days before trip departure without penalty.

TRIP INSURANCE

We strongly advise all tour participants to take out a travel insurance policy (trip insurance and accident insurance) to prevent any losses in case of illness, accident or other reasons that may cause you to cancel or cut short a tour.

Tour clients should also ensure that they are covered by a suitable medical insurance policy while taking part in a CCSD Tour.

SINGLE SUPPLEMENTS

All tour prices are based on an assumption of two people sharing a twin, double or king room.

Clients that wish to have single occupancy in a room will be subject to the stated tour single supplement. For individual tour clients who wish to share a room with another guest we will do our best to match you with another client of the same gender, however this is not guaranteed and in the event that we are unable to do so 70% of the single supplement will be payable to CCSD.  This will be collected along with the final payment due to CCSD.

ACCOMMODATION

CCSD carefully selects all hotels and lodging for its tours.  We strive to use lodging which is of a high standard, operated by friendly and welcoming management / owners and of a quality that meets our own standards and enhances our tour clients experience.  However, tour clients should be aware that in Europe, rooms often tend to be smaller, a double/queen sized bed may be two twin beds pushed together and there are often less in-room facilities than in the USA (e.g. fridges, microwaves, tea and coffee making equipment).

BIKE RENTALS AND BIKE TRANSPORT

Bike rentals are not usually included in the tour price (unless specifically stated), however in most locations we are able to arrange a bike rental for you at an extra charge.   Although we take care to select reputable and recommended bike rental partners CCSD cannot be held responsible for any accident or incident occurring as a result of a bike rented from such third party.  It is your responsibility to check that the bike you receive is in good working order and safe to ride.

For clients that choose to travel with their own bike CCSD cannot be held responsible for the cost of transportation of the bike, nor the cost of any damage to the bike or loss of bike or equipment during travel or transfers to or within the tour.

FORCE MAJEURE

CCSD cannot be held liable for any failure to perform its obligations where such failure is as a result of acts of God (including fire, flood, earthquake, storm, hurricane or other natural disaster), war, invasion, act of foreign enemies, hostilities (whether war is declared or not), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalization, government sanction, blockage, embargo, labor dispute, strike, lockout or interruption or failure of electricity

RESPONSIBILITY OF CLIENTS AND RISKS

The payment of the deposit or any partial or full payment for a reservation on a tour shall constitute consent to all provisions listed under the CCSD Tours Policies, Terms and Conditions herein.

CCSD is the principal tour operator for these tours and is responsible to the participants for all arrangements and for all tour services and accommodations offered.  CCSD’s agents, servants and employees shall not be responsible for personal injuries or property damage, loss or delay, or change of itinerary incurred by any person or tour participant arising out of the act of negligence of any direct or supplemental carrier, hotel, or other person rendering any of these services, or accommodations being offered in these tours; nor shall CCSD be responsible for any injuries, death, damage, loss or delay in any means of transportation or by reasons of any event beyond the actual control of CCSD or of any agent or supplier, or due to force majeure.

Tour participants follow the suggested itinerary at their own risk and agree not to hold CCSD responsible for injury or death resulting from accidents.

Bicycles used during these tours (both owned and rented bicycles) should be in good, safe operating condition and participants agree to use them at their own risk or call deficiencies to the immediate attention of the head tour leader.

Cycling tour clients are required to wear a helmet while cycling.

You are responsible for your own property, and you will not hold CCSD responsible for any losses or damages to personal property which occur during travel to or from a CCSD tour or within a CCSD tour.

You acknowledge that you are responsible for your own safety and you understand that foreign countries may be unfamiliar to you, so we encourage you to be careful at all times.

To the extent permitted by the law, you release CCSD (including their directors, officers, employees, consultants, contractors, agents and volunteers) from any liability for any damage, loss, liability or injury you may suffer in relation to your participation in the CCSD Tour.  You accept responsibility for your own actions.

You agree to compensate CCSD for any damage, loss, liability or injury CCSD or anyone else may suffer as a result of your willful, reckless or negligent acts or omissions during a CCSD Tour.

COACHING AND CYCLING ABILITIES

Instruction and coaching advice may be given by CCSD in advance of and during a tour.  Qualified and USAC certified coaches will make themselves known during a trip.  Other tour leaders, employees, agents or others involved in supporting a CCSD tour should not be considered to be a qualified cycling coach although they may have useful tips and advice for cyclists.  Tour participants are responsible for their own actions and safety while on a tour and CCSD cannot be held responsible for any injury, accident or other such incident as a result of a tour clients participation in a CCSD tour.

All participants on CCSD Tours with a cycling itinerary should be comfortable in the use of a multispeed road bike and be able to ride in small groups on roads with traffic on them.  Tour clients should take note of the specific itineraries for each tour and the difficulty and volume of the cycling routes within them.  By reserving space on a tour, clients acknowledge that they are in suitable physical and mental condition to perform the activities described herein. At the discretion of employees, agents or independent contractors of CCSD, participants failing to meet these physical and mental requirements, or participants deemed harmful or disruptive to other clients enjoyment of the tour may be asked to leave the tour, with no refund applicable.

WAIVERS AND RELEASE FORMS

Tour clients are required to provide a signed CCSD Tours “General Release” form prior to trip departure.  You will receive a copy of the CCSD Tours General Release shortly after reserving your tour. You may also download the forms online (see links below).

We are unable to allow guests to participate in any aspect of a CCSD Tour without a signed General Release form.

CCSD owns full intellectual property rights to content on this website (“the Site”) as well as the Site’s design, structure, and compilation. The content of the Site is intended for personal use; we kindly request that you let us know if you are going to distribute, transmit, publish or broadcast any part of this site.

DISCLAIMER

CCSD does not promise that the Site, brochures, posters or other such information conveyed about its tours, training camps or other service offers will be error-free. The aforementioned materials and their content are delivered on an “as-is” and “as-available” basis. CCSD will not be liable for any damages of any kind arising from the use of the Site or such materials, including without limitation, direct, indirect, incidental, and punitive and consequential damages.

PRIVACY POLICY AND PERSONAL INFORMATION

CCSD keeps all personal data of clients and registered contacts on the CCSD database confidential. We do not sell or rent any client data to other organizations or third parties.

Personal details of any clients for any CCSD tour, training camp or service offering will be processed only by CCSD, our participating bank(s), our participating registration agent (e.g. bikereg.com) and USA Cycling (where applicable) and other such organizations for whom you may be requested to sign a separate registration or waiver form. By purchasing and participating in a CCSD Tour, you are hereby giving CCSD the right to use your photos/likeliness in the promotion and advertising of future CCSD Tours

CCSD uses personal information you provide to CCSD to contact you. CCSD may also communicate with you through the CCSD Facebook page or other social media. If you do not wish to be named or tagged in our social media please inform us by email.  In addition, you should note that a third party provides Internet operations for this Site.

Any contact registering with CCSD through this Site will be stored on a secure third party email marketing system: Vertical Response. All client data uploaded into the Vertical Response system is stored in a personalized and secure location and Vertical Response will not sell or rent any client data loaded into its system.  Only the registered account holder can gain access to the uploaded lists (in this case CCSD).  Further information can be found on the Vertical Response Policies here: http://www.verticalresponse.com/about/privacy_tos.html

CCSD may disclose your information when we believe in good faith that such disclosure is necessary to identify, contact or bring legal action against someone who may be causing injury to or interference with (either intentionally or unintentionally) our rights or property, or the rights or property of our users. We also may disclose your information when we believe in good faith that the law requires such disclosure, including exchanging information with other companies, authorities and organizations for fraud protection purposes.

INDEMNIFICATION

By using this Site, you agree to indemnify CCSD, its trustees, members, employees, volunteers, agents, and representatives and hold them harmless from any and all claims and expenses, legal fees, including attorneys’ fees, arising from your use of the Site. You further agree to release CCSD and its officers, trustees, members, employees, volunteers, agents, and representatives from any and all claims, demands, debts, obligations, damages (actual or consequential), costs, and expenses of any kind, (known or unknown, suspected or unsuspected, disclosed or undisclosed) that you may have against them arising out of, or in any way related to, your use of the Site or to any disputes regarding use of ideas or related materials submitted to CCSD. CCSD may choose not to enforce some of abovementioned terms in some cases. That does not mean that CCSD is prevented from enforcing some or all of them as it sees fit.

CCSD Tours is an unincorporated division of Cycling Camp San Diego which is registered as Sherbert Enterprises Inc.

Your taking part in a CCSD Tour, Training Camp, Event or other CCSD service offer is deemed to be an acceptance of the above Policies, Terms and Conditions
